Choosing the right global rewards supply chain platform is one of the highest-stakes decisions an enterprise HR technology team can make. Get it right and you unlock seamless fulfillment, incredible choice, and an inspiring recognition experience employees actually feel. Get it wrong and you're managing a patchwork of regional vendors, manual workarounds, and unhappy program admins in twelve time zones.

To help you shortlist with confidence, here are 12 must-ask RFP questions, organized by what matters most:

Integration & Technical Architecture

1. How does your platform integrate with our existing HR tech stack?
Your rewards partner shouldn't live in a silo. Ask for documented integration paths with your HRIS, payroll system, and any existing employee recognition and rewards software. Look for pre-built connectors to platforms like Workday, ADP, Adobe, Microsoft, or Salesforce and a well-documented API for custom builds. Vague answers here are a red flag.

2. What does your global reward catalog integration look like at the data layer?
Catalog data needs to flow cleanly in both directions; item availability, pricing, and fulfillment status should sync in near real time. Ask how catalog updates are pushed to your system, how often SKU data refreshes, and what happens when an item goes out of stock mid-transaction. The answer reveals how mature their data infrastructure really is.

3. How do you handle multi-currency, multi-language, and multi-timezone requirements?
This is table stakes for any enterprise global incentives and rewards fulfillment program. Confirm that currency conversion uses live exchange rates (or a transparent fixed-rate policy), that the employee-facing UI is localized, not just translated, and that reporting timestamps are normalized across regions.

Fulfillment & Supplier Network

4. What is the geographic footprint of your fulfillment network?
Don't accept a list of countries as the answer. Push for specifics: How many active fulfillment partners operate in each region? How many merchandise rewards are actually available? What are the average and maximum delivery SLAs by country? Which markets do you support with physical goods versus digital-only rewards? A strong global rewards supply chain platform should have receipts, not just reach.

5. How do you manage fulfillment quality and supplier accountability?
Ask whether suppliers are audited and how often. Find out how fulfillment disputes are escalated and resolved, and what SLA remedies exist when delivery windows are missed. This question reveals whether the vendor is truly owning the supply chain or just brokering it.

6. What is your product sourcing and vetting process?
Especially for merchandise and branded goods, you need to know that products meet quality standards before they land on your catalog, not after employee complaints roll in. Ask about brand authenticity, product testing cycles, how ethical sourcing is verified, and how quickly bad actors are removed from the supplier network.

Compliance & Risk Management

7. How do you support tax and regulatory compliance across jurisdictions?
This is where many HR technology rewards partner selection conversations fall short. Reward taxation rules vary significantly. Your platform should have built-in compliance logic for major markets, with a clear escalation path for edge cases. Ask specifically how they stay current with regulatory changes.

8. What data privacy and security certifications does your platform hold?
The baseline requirements are well established: GDPR, SOC 2 Type II, ISO 27001. What's less obvious is how data residency is handled for employees in regulated markets, and what your contractual recourse is in the event of a breach. Request documentation, not just a checkbox.

9. How do you handle sanctions screening and export control compliance for physical goods?
For global programs that ship merchandise, this is a real operational risk. Ask whether the platform screens recipient addresses against sanctions lists, how often those lists are updated, and what the process is when a shipment needs to be blocked or rerouted.

Peer-to-Peer Recognition & Program Design

10. How does your platform support peer-to-peer recognition programs at scale?
Peer-to-peer recognition platforms live or die on adoption, and adoption depends on UX. Ask to see the employee-facing recognition flow (i.e. how many clicks to recognize a colleague, whether recognition can be tied to company values, and how social amplification works across teams and regions). Also, ask what guardrails exist to prevent points abuse or recognition gaming.

11. What program analytics and ROI reporting do you provide?
For enterprise HR tech leaders, measurement isn't optional. You should expect clear dashboards that break down recognition activity by region, department, and manager as well as participation rates, redemption trends, and budget utilization. Ask whether custom reporting is available and whether raw data can be exported to your business intelligence tools.

Support & Partnership Model

12. What does your implementation and ongoing support model look like for enterprise clients?
Implementation quality is often the difference between a smooth rollout and a six-month fire drill. Ask for a named Client Success contact, implementation timelines for organizations of your size, and what support tier is included in your contract versus billed separately. Request references from clients who completed a global rollout in the past 18 months, and actually call them.
